Privacy Policy

Hunter Creative Media & Design ("Company," "we," "us," or "our") operates Alma, a chatbot builder platform. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our Service.

1. Information We Collect

1.1 Information You Provide

  • Account Information: Name, email address, company name, and password when you register
  • Payment Information: Processed securely through Stripe; we do not store full credit card numbers
  • Bot Content: Conversation flows, responses, and configurations you create
  • Communications: Messages you send to our support team

1.2 Information Collected Automatically

  • Usage Data: Features used, pages visited, actions taken within the Service
  • Device Information: Browser type, operating system, IP address
  • Cookies: Session and preference cookies (see Cookie Policy section)
  • Analytics: Aggregated usage patterns and performance metrics

1.3 Information from Your End Users

When visitors interact with chatbots you create using Alma:

  • Conversation logs and messages
  • Basic session data (timestamps, page visited)
  • Any information the visitor voluntarily provides

Important: You are the data controller for information collected through your chatbots. You are responsible for providing appropriate privacy notices to your end users.

2. How We Use Your Information

We use collected information to:

  • Provide, maintain, and improve the Service
  • Process payments and manage subscriptions
  • Send transactional emails (confirmations, password resets, etc.)
  • Provide customer support
  • Analyze usage patterns to improve features
  • Detect and prevent fraud or abuse
  • Comply with legal obligations

3. Information Sharing

We do not sell your personal information. We may share information with:

3.1 Service Providers

  • Stripe: Payment processing
  • Render: Cloud hosting
  • Email providers: Transactional email delivery
  • Analytics tools: Usage analytics (anonymized where possible)

3.2 Legal Requirements

We may disclose information if required by law, court order, or government request, or to protect our rights, safety, or property.

3.3 Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity.

3.4 CNX Suite Sibling Products

Alma is part of the CNX Suite, which also includes Beacon (field operations), CampaignCNX+ (SMS), and CoreCNX (CRM and unified contact timeline). If your workspace connects Alma to one or more of these sibling products, contact records, lead disposition, and conversation metadata flow between the connected products through cryptographically signed webhooks at your direction:

  • CampaignCNX+ receives contact and consent data when you configure Alma to push qualifying conversations into an SMS follow-up sequence.
  • CoreCNX receives every Alma chatbot lead as a contact and timeline event when you use CoreCNX as your unified contact spine; matching is performed phone-first with email as a fallback.
  • Beacon receives contact records when your workspace is configured to surface Alma chatbot conversations to canvassers in the Beacon mobile app for door-to-door follow-up.

These integrations are off by default. You enable them from your workspace settings, you control what data flows where, and you can disconnect a sibling product at any time. Each CNX Suite product is governed by its own privacy policy; data shared between products travels through cryptographically signed webhooks and is subject to the receiving product's own retention rules. Disconnecting a sibling product stops new data flow but does not delete data the sibling product has already received — to delete that data, contact the sibling product's support directly.

4. Data Retention

  • Account data: Retained while your account is active and for 30 days after deletion
  • Conversation logs: Retained according to your plan settings; you may delete at any time
  • Payment records: Retained as required for tax and legal compliance (typically 7 years)
  • Analytics data: Aggregated data retained indefinitely; identifiable data deleted after 26 months

5. Your Rights and Choices

Depending on your location, you may have the right to:

  • Access: Request a copy of your personal data
  • Correction: Update inaccurate information
  • Deletion: Request deletion of your data
  • Export: Receive your data in a portable format
  • Opt-out: Unsubscribe from marketing communications

5.1 Account Deletion

You may delete your account at any time through your dashboard settings or by contacting support. Deletion removes your account data, bot configurations, and conversation logs within 30 days.

6. Cookie Policy

We use cookies and similar technologies for:

  • Essential cookies: Required for the Service to function (authentication, security)
  • Preference cookies: Remember your settings and preferences
  • Analytics cookies: Help us understand how you use the Service

You can control cookies through your browser settings. Disabling essential cookies may prevent you from using certain features.

7. Data Security

We implement appropriate technical and organizational measures to protect your information, including:

  • Encryption in transit (TLS/SSL)
  • Encryption at rest for sensitive data
  • Regular security assessments
  • Access controls and authentication
  • Secure data centers (via Render)

However, no method of transmission or storage is 100% secure. We cannot guarantee absolute security.

8. International Data Transfers

If you are located outside the United States, your information may be transferred to and processed in the United States where our servers are located. By using the Service, you consent to this transfer.

9. Children's Privacy

Alma is not intended for children under 13. We do not knowingly collect personal information from children under 13. If we learn we have collected such information, we will delete it promptly.

10. California Privacy Rights

If you are a California resident, you have additional rights under the CCPA:

  • Right to know what personal information is collected
  • Right to delete personal information
  • Right to opt-out of sale of personal information (we do not sell personal data)
  • Right to non-discrimination for exercising your rights

11. Your Responsibilities as a Bot Creator

When you use Alma to create chatbots, you are responsible for:

  • Providing privacy notices to your end users
  • Obtaining necessary consents for data collection
  • Complying with applicable privacy laws (GDPR, CCPA, etc.)
  • Handling data subject requests from your end users
  • Not collecting sensitive personal information without appropriate safeguards

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email or through the Service. The "Last Updated" date at the top indicates when changes were made.
